Free invoicing is enough while you send fewer invoices than your plan allows and nothing you need sits on a paid plan. Each free plan here ends on something different: QuickBooks Free on volume, at 2 invoices a month unless you qualify for and enable QuickBooks Payments; Zoho Books’ free plan on revenue, since it’s only for revenue under $50K for the financial year; Wave’s Starter and Square Free on features they keep for paid plans. Zoho Invoice, a separate product from Zoho Books, has no paid plan, but it has a yearly invoice limit that Zoho shows only inside your account. Pick the plan whose limit you’ll reach last, and remember that a free plan doesn’t make online payments free: whoever processes them takes a fee.
Which free plan fits what you do?
Start from the job, not the plan.
- You only invoice, and you don’t need books: Zoho Invoice. It’s free with no paid plans and does quotes, recurring invoices, reminders, expenses, and time tracking. It has a yearly invoice limit that Zoho doesn’t publish; you see it under Settings > Usage Stats once you’re in. If your volume could pass it, choose Wave’s Starter plan instead.
- You send a lot of invoices, or you want books too and will enter transactions yourself: Wave’s Starter plan. Invoices, bills, and bookkeeping records have no cap, but your bank transactions don’t flow in, so you type them or upload them.
- Your accountant wants to log in, and revenue is under the cap: Zoho Books’ free plan, with 1 accountant and up to 1,000 invoices a year.
- You already take cards in person with Square: Square Free. Invoices sit in the same account as your card reader, with no invoice limit.
Skip QuickBooks Free for regular invoicing. It has the tightest published limit here: 2 invoices a month, 1 bank account, no accountant access, and no mobile app. Turning on QuickBooks Payments lifts the invoice limit if you qualify, so it’s worth a look only if you already plan to take card payments through QuickBooks.
What ends each free plan?
Here is the cap or the missing feature that ends each one.
- QuickBooks Free: the third invoice in a month, unless you qualify for and enable QuickBooks Payments. Then a second bank account, receipts past 2 per month, or wanting the mobile app.
- Zoho Books’ free plan: revenue for the year crossing the cap, invoice number 1,000 plus one in a year, or a second user. It also has no automatic bank feeds; those start on Standard.
- Wave’s Starter plan: wanting bank transactions imported and sorted for you, or another person in the account. Those are Pro features. Two more come with a condition rather than a plan change: reminders that chase late payers on their own work on Starter once you take online payments through Wave, and receipt capture is a paid add-on.
- Square Free: wanting payment schedules or your own invoice templates, a cap on bank-transfer fees for big invoices, or a lower card rate. Each of those is a Plus feature.
- Zoho Invoice: reaching its yearly invoice limit, or wanting accounting. Zoho’s pricing page doesn’t mention the limit; its help center does, and says the count resets each year on the date your account’s organization was created. For more invoices, Zoho points to Zoho Billing, and for accounting the step is Zoho Books. Both are separate products, so you’d move your records across rather than upgrade.
What does each free plan include?
The four free plans in this guide’s data, with what ends each as the vendor describes it. Zoho Invoice has no block here: Zoho publishes no figure for its invoice limit, so everything there is to say about it is above.

What does getting paid cost on a free plan?
The plan is free; taking payments online isn’t. Each card payment or bank transfer a customer makes online carries a processing fee. Wave, Square, and QuickBooks process the payment themselves and set the rate, and on two of them the free plan pays more than the paid plan. Zoho Invoice and Zoho Books add no fee of their own: the payment service you connect charges its rate, whether that’s Zoho Payments, Zoho’s own, or another such as Stripe or PayPal. A check costs no fee.
Say you’re a solo voice-over artist who sends six invoices a month to studios, about $400 each, and most studios pay by card online. On Wave’s Starter plan the card fees come to $73.20 a month, on Square Free $81 a month, and on Zoho Books’ free plan through Zoho Payments $71.40 a month. QuickBooks Free would stop you at the third invoice unless you qualified for and enabled QuickBooks Payments and took those payments through it, at $71.76 a month.
The plan you’d pick here is Wave’s Starter plan, free with no invoice cap, or Zoho Invoice once you’ve checked that six a month sits inside its yearly limit. Ask the studios that pay on terms for a bank transfer instead, and the fees fall further; what invoicing costs once customers pay by card works it out at any volume.
When should you pay, and what does the first step cost?
Pay when a missing feature costs you time every week, not before. The first paid step on each:
- QuickBooks: Simple Start at $38 a month, for 1 user, which lifts the free plan’s invoice limit.
- Zoho Books: Standard at $20 a month, which adds bank feeds and allows 3 users.
- Wave: Pro at $19 a month, which adds bank imports and sorting and more users, and includes receipt capture without the add-on.
- Square: Plus at $49 a month per location, which adds payment schedules, custom templates, and lower card rates.
What not to pay for yet: a paid plan for reports you won’t read, a higher plan for its card rate alone (the card-payments page shows when that pays), and a yearly commitment before you’ve invoiced from the tool for a few months. Accounting software or an invoicing tool helps if you’re unsure you need books at all, and outgrowing Wave or a free invoicing tool covers the move once a free plan has ended.
Your next step
Pick the free plan whose limit you’ll reach last, open it this week, and send your next invoice from it.
- If you only invoice and don’t need books: start Zoho Invoice, and check its yearly invoice limit under Settings > Usage Stats in your first week.
- If you send a lot of invoices, or want books too and will enter transactions yourself: open Wave’s Starter plan (the link lands on Wave’s plans page; choose Starter).
- If your accountant wants to log in and your revenue is under Zoho’s cap: start Zoho Books’ free plan.
- If you already take cards with Square: sign up for Square Free.
